The Role: Purchasing Operations Specialist
The purchasing operations specialist will be providing operational procurement support to the Global Purchasing Team.
Main focus areas of this role cover:
- Operational Purchasing activities
- Procurement compliance
- Invoicing support
- ERP testing & development
- Self-service purchasing enablement and support
Primary responsibilities:
- Supplier onboarding: Reviewing and approving new supplier requests and ensuring relevant quality controls are met.
- Small purchase requests: Support internal users with small purchase requests/RFQ’s, P-card purchases to ensure the correct purchase method is used and conducted in line with the Procurement Policy.
- PR-PO conversion and support: Converting purchase requisitions to Purchase orders, ensuring quality and compliance parameters are met.
- Manage PR/PO related queries by providing information and support, as well as providing scheduled and ad hoc training sessions.
- Invoicing support: Support accounts payable teams with supplier invoice matters as required.
- Oracle regression testing: Perform quarterly P2P regression testing as required.
- Catalog maintenance: Creating and maintaining self-service purchasing catalogs/smart forms with guidance and input from Senior Procurement Specialists.
- Audit activities: Support all audit activities, collecting and providing relevant supporting documentation and feedback.
- Travel Portal support: Managing advanced access roles within the travel portal.
Additional responsibilities:
- Provide operational support to the greater Procurement team as/when required
- Collaborate with stakeholders to improve operational efficiency and support
- Maintain compliance in all procurement related activities
Interfaces and Authority:
- Oracle ERP, SharePoint, Fresh Service, Egencia, AirPlus, and any others that might become operationally required
- This role does not have any direct reports
Knowledge & Skill requirements:
- Education – High School, University Degree not essential
- Years of experience – minimum 3 years in a similar role
- Fluent and efficient in English & Dutch
- Office systems. (e.g. Word, Excel, PowerPoint)
